Administrative Assistant

POSITION SUMMARY:

The Administrative Assistant is a key member of Media Matters' Executive Department and is the primary team member who provides administrative support to the President/CEO. The successful candidate will have a proven track record of articulate oral and written communication skills, providing administrative support, and maintaining a high degree of confidentiality. A self-starting and results-oriented work style is critical in this role.

POSITION RESPONSIBILITIES:

  • Provide general administrative support to the President/CEO including management of incoming correspondence, meeting and event planning, and external inquiries

  • Compose memos and briefings to prepare President/CEO for meetings and various external events

  • Maintain internal database of contacts and activities

  • Conduct research on a variety of issues of importance and relevance to the President/CEO

  • Communicate to internal and external contacts regarding events, agendas, meetings, and other activities of the President/CEO

  • Provide support to the Assistant to the President/CEO as necessary and maintain essential duties of the Assistant in their absence

  • Travel as necessary with the President/CEO to provide administrative and logistical support.

COMPETENCIES/QUALIFICATIONS:

  • Bachelor’s Degree in Business Management of closely related academic discipline preferred; 2 or more years experience in an administrative support role highly desirable

  • Proficiency with Microsoft Word, Excel, Outlook, and PowerPoint

  • Proven and highly effective organizational and communication (both written and oral) skills

  • Experience in conducting and compiling research using the Internet and Lexis-Nexis preferred

  • Current driver’s license and clean driving record required

  • Professional, pleasant conduct and high degree of maintaining confidentiality required

  • Ability to multitask and shift priorities; aptitude for working under tight deadlines

  • Commitment to the organizational mission and ideology in order to effectively promote and advance the goals of Media Matters

  • Ability to excel in a team-based, participatory environment as well as work autonomously; good sense of humor a plus.
